Overview

The expediting role is one of the most important roles in the company to ensure our customers are kept informed on their order due dates. As an expeditor, you will be working as the vital link between our customers and our supplier base to improve delivery performance by chasing, expediting, and reporting delivery dates. It is a fast-paced, demanding job which requires good organisational skills and great communication.

Key Responsibilities

  • Supplier Coordination: Build and maintain strong relationships with suppliers to monitor order statuses, proactively follow up on delays, and negotiate improved delivery dates when possible.
  • Order Management: Oversee the end-to-end order fulfillment process, ensuring that all customer orders are processed accurately and delivered on time.
  • Weekly Reporting: Generate and analyze weekly order book reports to keep key customers updated on order statuses and any potential changes to delivery schedules.
  • Documentation: Prepare and issue delivery notes, invoices, and other necessary documentation to support the order fulfillment process.
  • Sales Forecasting: Compile monthly sales forecast reports, tracking trends and adjusting projections to align with actual supplier capabilities and customer demand.
  • Daily Reporting: Produce daily reports on order due dates, identifying any at-risk deliveries and taking swift action to resolve potential delays.
  • Logistics Coordination: Arrange courier bookings, including selecting the most efficient and cost-effective carriers to meet delivery deadlines.
  • Problem Resolution: Address and resolve any order discrepancies, delayed shipments, or logistical issues, keeping customers informed throughout the process.
  • Continuous Improvement: Identify opportunities to streamline processes and improve the efficiency of the supply chain to enhance customer satisfaction.
  • Cross-Department Collaboration: Work closely with the sales, customer service, and warehouse teams to ensure a seamless flow of information and coordination on order fulfillment.

Person Specification

Education

  • A basic level of education would be preferred

Experience

  • Previous experience in an administrative, logistics, or supply chain role would be advantageous but is not mandatory

Skills

  • Proficiency in Microsoft Office Suite, especially Excel (Although training will be given)
  • Familiarity with ERP or inventory management systems is a plus.
  • Strong organizational abilities with excellent attention to detail, ensuring accuracy in all tasks.
  • Demonstrated ability to multitask effectively and prioritize workload to meet tight deadlines.
  • Excellent written and verbal communication skills, with the ability to convey information clearly to both customers and suppliers.
  • Strong phone etiquette and a customer-focused approach to interactions.
